Administrative

Osmotics Cosmeceuticals – Office Manager/Administrator – 2014-Current

  • Manage day-to-day office needs, including but not limited to, ordering and receiving retail and product tester inventory from warehouse, ship outgoing PR, customer service requests, and internal sales department requests via UPS Worldship, USPS or FedEx, order and maintain office supplies and other office needs
  • Pull weekly sales reports from vendor portals
  • Accounts Receivables for large retailer accounts. Retrieve orders from vendor portals and process according to standard operating procedures
  • Data entry:
    • Various reports and other data sources into proper spreadsheets with a focus on attention to detail and accuracy
    • Record shipping dates of specific purchase orders in tracking spreadsheet
    • Enter purchase orders into accounting and inventory tracking systems
    • Enter freelance field representatives AP numbers into tracking spreadsheet
    • Add inventory to tracking system when Production Manager is unavailable
  • Manage and schedule IT needs for phones, servers, and printer systems
  • Create SOP’s for accounting systems, phone operation and other day-to-day activities
  • Report directly to CEO, President, VP of Operations, Human Resources and Controller on various time-sensitive projects
  • Work with Art Director, E-Commerce/Digital Marketing Manager, and PR firms on product photo and/or video needs
  • Work with Warehouse Supervisor on current and future shipping issues, as well as ensure that purchase orders ship on time
  • Work with Production Manager, the marketing department, and sales teams on inventory, product, and sales updates, as well as data and shipment tracking
  • Direct accounting temps with projects as needed
  • Direct and supervise maintenance crews on all office-related service issues
  • Occasionally assist at warehouse with shipping duties, when needed
  • Audit freelancer time/sales sheets and enter data into various tracking workbooks
  • Created freelancer tracker Excel workbook that tracks weekly reports by field sales teams with the reported store sales
    • This workbook factors wholesale prices and chargeback margins to give a true measure of performance
    • It also tracks discrepancies made by individual freelancers and account executives

Film Production/Corporate Video – 2000-2014

  • Production Project Management
    • Research, design, layout, and implement preproduction, production and post production workflows
  • Organize and consolidate online and offline storage facilities
  • Manage and schedule rental of lighting, camera, and other production equipment needs
  • Work directly with department managers on production needs

  • Work with producers on requiring permits and liability insurance needs
